BASIC FUNCTION Coordinates activities and performs administrative functions for the Director, EMS and Disaster Medicine and other managers/senior managers in the Clinical Affairs division. Provides support for committees, sections, task forces, and grants

Characteristic Duties and Responsibilities

  1. Provides administrative support for the Director, EMS and Disaster Medicine and other managers/senior managers in the Clinical Affairs division, including drafting correspondence; responding to telephone calls; maintaining filing; and compiling information from various sources. Provides information to emails and calls, as appropriate, on the status and content of department/division activities and related issues. Coordinates, performs, and assures timely and efficient completion of projects, printing, purchase order and check requisitions, word processing, expense reports, mailings, and distribution.

  2. Assists with committees, sections, and task forces including drafting correspondence; preparing minutes, quarterly and annual reports, rosters, and agendas; coordinating meeting arrangements including catering and hotel; compiling and distributing meeting materials; scheduling and planning conference calls and/or webinars; coordinating work on committee objectives; handling travel arrangements; updating website information; and assisting with the preparation of section newsletters.

  3. Assists with projects, courses, and initiatives, including, but not limited to, drafting correspondence; preparing minutes, rosters, and agendas; coordinating meeting arrangements including catering and hotel; compiling and distributing meeting materials; tracking project progress; coordinating the continuing medical education approval process; and scheduling and planning conference calls.

  4. Provides administrative support for grant projects managed by the Director, EMS and Disaster Medicine, including scheduling and planning conference calls; drafting minutes, rosters, and reports; tracking project progress; and communicating with grant funding organizations and co-grantees.

  5. Performs other duties as assigned by supervisor.

Project Administrator, Emergency Medicine Practice

Clinical Affairs staff, Academic Affairs staff, EMS staff, Staff Services staff, and Technology Services staff

External Contacts:

ACEP members, ACEP Board of Directors and Council Officers, committee, section, and task force members, project participants, other medical associations and organizations, grant funding organizations, and co-grantees

Required Education and Experience

  1. High school diploma or equivalent.

  2. Accurate administrative skills, including word processing.

  3. Three years related administrative experience including handling client/member requests and problems, writing correspondence, and project organization and coordination.

  4. Thorough knowledge and familiarity in working with Microsoft Office applications.
